Refund Policy

Deposit and balance

A [X%] deposit confirms your trip. The deposit is non-refundable except as noted below. The balance is due [X days] before your trip start date.

Cancellation by you

  • More than 60 days before trip: Full refund minus $[amount] non-refundable processing fee.
  • 30-60 days before trip: 50% refund of amounts paid, minus any non-refundable vendor deposits already made on your behalf.
  • Less than 30 days before trip: No refund. You may transfer the trip to another person subject to vendor approval.

Specific vendors (shuttles, lodging) may have their own cancellation policies that override ours. We will disclose these at booking.

Cancellation by TrailSendr

If we cancel your trip for reasons within our control, you receive a full refund of amounts paid to TrailSendr (including the deposit).

Force majeure

If your trip is affected by events outside our control (weather, wildfires, pandemics, trail closures, vendor failure, natural disasters, travel advisories), we will:

  • Attempt to rebook to alternate dates at no additional cost
  • Refund any recoverable vendor costs (lodging, shuttles, rentals that refund to us)
  • Refund our service fee if more than 14 days before the trip; retain 50% if within 14 days (to cover planning work already done)

Travel insurance

We strongly recommend purchasing travel insurance to cover cancellation, medical emergencies, and trip interruption. We do not sell insurance directly.

Refund processing

Refunds are processed via Stripe back to your original payment method within 10 business days. Credit card refunds may take an additional 5-10 days to appear on your statement.
